单位出具的《在职及收入证明函》几乎可以说是签证申请中的核心材料之一。格式、内容规范，措辞郑重、得体的信函，可以从一个侧面表现出申请者所在单位的良好形象，给签证官留下较好的印象，起到为申请加分的作用。 一、办理签证所要求的内容要素必须完整
外国驻华使、领馆一般要求单位证明函包含以下内容： 1．单位确认申请者姓名、护照号、在本单位工作年限、现任职务、现工资水平等；
2．单位确认申请者此行是公费，还是自费；
3．单位确认是否担保在申请者出国期间，为其保留职位和工资。 以上是单位证明函内容的一般要求。而不同类型单位的证明函出具也有不同的讲究。 二、国家机关出具证明函的规范
国家机关包括各级人民代表大会及其常务委员会（也就是我国的各级议会）、机关和司法机关。一般来说，国家机关的公务员工作和收入都相当稳定，有利于签证办理。但是千万不要被内容不完整、形式草率的单位证明函给拉后腿。
国家机关出具证明函应注意以下几点：

1．中国是一个主权国家；汉语言文字是国家的官方语文。而依照外交规范，国家机关向外国及其派出的使节出具的公函，也属于外
交照会的范畴。因此，国家机关出具证明信，只出具中文版本，并加盖公章，作为正式的语言版本；英文翻译稿不盖章，附在中文正本后面，作为非正式附件，以方便使馆领事人员阅读理解。
2事专用信笺就更好。公章可盖人事部门的部门章，也可加盖单位公章。
3．英文稿既然是非正式附件，就不用打印在单位套头印刷的专用信笺上，可打印在空白的A4纸上，且不盖章，也不签名。但仍应采用正式公文体的格式、字体和措辞（如“whereas鉴于”、“hereby兹/特此”、“hereinafter以下/下文”等公文用的文绉绉的“拽”词可以适当运用）。
4．无论是中文稿，还是英文稿，我方、外方的国号、机构名称都必须规范。如英国的全称是“大不列颠及北爱尔兰联合王国the United Kingdom of Great Britain and Northern Ireland”。
要弄清楚对方是驻华大使馆（embassy）还是驻某个城市的领事馆(consulate)，级别是不一样的。 各国的规范英文全称附在本文后面。
如果实在搞不准规范的国号全称，可以用规范的简称，如：
